Description:
Our fantastic VA is leaving us due to personal reasons and we're looking for someone who can fit her big shoes.
Her role (except her fantastic sense of humour and super responsive and efficient forward-thinking initiatives) included:
- Diary Management (mostly mine as MD) for the business + a little personal
- Arranging conference calls
- Finance Tasks (making payments on paypal), updating freelancer Invoices document + compiling them
- Uploading receipts to the designated place
- Making payments on PPH
- Monitoring Odesk payments (odesk payments are taken automatically)
- Making online purchases by request
- Admin Tasks - Sending documents out via hellosign
- Amending contracts on request - Emailing new starters with NDA, Invoice template and starter documents.
- Sending out & monitoring the signing of NDA’s
- Formatting documents when requested
- Liaising with providers/suppliers
- Posting jobs on PPH and checking responses
- Assisting in drafting process documents
- Update contractually (contact management package)
- Ad-hoc admin & personal tasks Requirements:
- Relaxed and very detailed oriented
- Articulate and professional, capitalise letters, distinguish when to be professional and when to be funny.
- Very organised, good at prioritising (I'm crap at it so need someone good who can help)
- Eager to learn
- Very responsive and very fast, always-connected during working hours
- Effective and versatile
- Bright and flexible
- Direct, honest, very clear
- Personable and great sense of humour
- Proactively thinks ahead on tasks given and other things that happen in the business
- Be the glue that clarifies on miscommunication in the team
- Passionate about the work, like the variety (from PA work to admin to payment chasing)
- Detail-oriented who finds mistakes and corrects them (expands beyond requirement)
- Can handle a fast environment and large work volume without getting daunted/overwhelmed
- Follow up on tasks (we use Asana to capture )
- Technically minded & organised, likes to learn new software
- Not afraid to say 'I don't know or I got stuck or help me out with this'
- Process-driven, experienced with larger businesses and knows how to create procedures
- Captures and maximises efficiency on re-occurring tasks
